The privacy of the information collected from our members, customers, vendors and partners is important to the Club. This Privacy Policy explains how we collect, use, disclose and protect personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).   • Date of birth
  • Residential/postal address
  • Email address and phone number
  • Emergency contact information
  • Membership history and status
  • Motorsport Australia licence details (if provided)
  • Committee/volunteer roles
  • Working With Children Checks and other regulatory requirements

3.2 Member Portal Usage & Technical Data

  • Login credentials
  • IP address, device details, browser type
  • Cookies and analytics data (see Section 11)

3.3 Event Participation Information

  • Event registration details
  • Payment and ticketing information
  • Medical or health information disclosed for safety purposes (only where necessary and with your consent)

3.4 Sensitive Information

Sensitive information (e.g., health details) is only collected with your consent and handled in accordance with APP requirements.

4. How We Collect Personal Information

We collect information through:

  • Membership sign‑up and renewal forms
  • Use of the Member Portal
  • Event registration forms
  • Emails, phone calls, and contact forms
  • Third‑party systems (e.g., payment processors, event ticketing providers)
  • Cookies, analytics tools, and access logs

Collection is done in accordance with APP 3 (solicited information) and APP 5 (notification of collection). 

5. Why We Collect Personal Information

We collect, use, and store information for the following purposes:

  • Administering club membership and communication
  • Providing access to and functionality within the Member Portal
  • Organising and managing events, including safety and compliance
  • Processing payments and issuing receipts
  • Maintaining volunteer and committee records
  • Ensuring website and Member Portal security and preventing unauthorised access
  • Meeting legal, insurance, and regulatory obligations
  • Improving our services and online experience

These uses are consistent with APP 6 (use/disclosure for primary and related secondary purposes). 

6. Use and Disclosure of Personal Information

We may disclose your personal information to:

  • Committee members and authorised club volunteers
  • Event organisers and officials
  • Motorsport Australia (where relevant for competition/event administration)
  • Payment service providers (e.g., Stripe, PayPal)
  • IT service providers (hosting, security, email platforms)
  • Emergency services in the case of an incident
  • Insurers and legal advisers when required

We do not sell personal information under any circumstances.

7. Overseas Disclosure

Some of our service providers (e.g., cloud storage, email, analytics platforms) may store data overseas.

Where this occurs, we take reasonable steps to ensure compliance with APP 8 regarding cross‑border disclosure of personal information. 

8. Security of Personal Information

We take reasonable steps under APP 11 to protect personal information from misuse, interference, loss, and unauthorised access, including:

  • Role‑based access controls within the portal
  • Password protection and user authentication
  • Encrypted data transmission (HTTPS)
  • Regular security updates and restricted admin access

9. Access and Correction

You may request to:

  • Access the personal information we hold about you
  • Correct any inaccurate, incomplete, or out‑of‑date information

This is consistent with your rights under APP 12 (access) and APP 13 (correction).

10. Data Retention and Deletion

We retain personal information only as long as required for:

  • Club administration
  • Legal, insurance, and accounting obligations
  • Event management and safety recordkeeping

After this period, data is securely destroyed or anonymised.

11. Cookies, Analytics & Tracking

Our website and Member Portal use cookies and analytics to:

  • Maintain login sessions
  • Remember user preferences
  • Improve site performance
  • Analyse aggregated usage patterns

You may adjust your browser settings to refuse cookies, though some Member Portal features may not function correctly.

We may send you club updates, newsletters, or event information.

This complies with APP 7 (direct marketing) requirements.

If you have concerns about how your information is handled:

14. Updates to This Policy

We may update this Privacy Policy to reflect changes in club operations, technology use, or legal requirements. Updates will be posted on our website and Member Portal.
